What is the Carefeed Employee App?

The Carefeed Employee App is a HIPAA-compliant messaging and communication platform designed specifically for senior living and long-term care professionals. The app helps your care team stay connected to provide excellent care.

Quick start checklist

  • Receive invitation and download the Carefeed Employee App

  • Create your account and log in

  • Complete your profile

  • Join your team channels

  • Set up notification preferences

  • Mark priority channels as favorites

  • Review your resources

Downloading the app and logging in

To use the Carefeed Employee App, you'll need an invitation from your community or organization.

Your administrator will invite you to the app. Next, you will receive an email with instructions to download from the app store.


To log into the app:

  1. Open the Carefeed Employee App on your device

  2. Enter your email address (the one your invitation was sent to)

  3. Click Create an Account, Sign in with Carefeed, or Sign in with PointClickCare

If you’re new to the app, we’ll verify it’s you by sending a code . You’ll create password, and set your notification settings.

Home tab

The Home tab shows:

  • Unread messages

  • Favorited channels or direct messages

  • Channels

  • Direct messages


Creating and editing channels

Channels are dedicated spaces for team conversations around specific topics, departments, or projects.

To create a channel:

  1. Go to the Home tab at the bottom of the screen

  2. Click New Chat

  3. Click Create a Channel

  4. Fill out the Channel Name and Channel Description

  5. Click Next and select members to add

  6. Click Add

To edit a channel:

  1. Go to the channel

  2. Click the three dots (top right)

  3. Click Edit Channel Details

  4. Edit the channel name or description and click Update

  5. Select Channel Photo if you’d like to set a channel photo

  6. Select Notifications to set your notification preferences

  7. Add to Favorites if you would like the channel to be at the top of your home page


Channel tips:

  • Create department-specific channels (nursing, dietary, activities)

  • Set up channels for different shifts or units

  • Use channels for project coordination or events

  • Keep channel names clear and easy to understand


Managing channel members

Viewing channel members:

  1. Tap on a channel

  2. See the number of members on the top

  3. Click on the channel name for more information

You will see member status (online/offline) and when they were last active (for example, "Last online 8 days ago")

Favorite channels

Favorites are channels you want quick access to. This is important for critical care updates. Creating Favorites or Mark as Priority

To mark a channel as a favorite:

  1. Open the direct message or channel you want to save as a favorite

  2. Click the three dots (top right)

  3. Select Add to Favorites


Sending messages

Channel Messages

  1. Tap on a channel to open the conversation

  2. Tap the “Write a message” field at the bottom

  3. Type your message and click the Send button (blue arrow icon) to send

To upload files:

  1. Tap the "+" icon next to the message field

  2. Choose from three options:

    1. Upload a photo - Share images

    2. Upload a video - Share video files

    3. Upload a file - Share documents

  3. Select your file and confirm the upload

Direct messages

Send private one-on-one messages to colleagues:

  1. Click New Chat

  2. Click Direct Chat

  3. Tap the checkbox next to their name

  4. Click Add

  5. Tap the "Write a message" field at the bottom

  6. Type your message and click the Send button (blue arrow icon) to send


To upload files:

  1. Tap the "+" icon next to the message field

  2. Choose from three options:

    1. Upload a photo - Share images

    2. Upload a video - Share video files

    3. Upload a file - Share documents

  3. Select your file and confirm the upload


Managing notifications

Chat notification settings

To control notifications for a specific chat:

  1. Click the Settings tab

  2. Click Notification Settings

  3. Select which notifications you’d like sent to you


Muting channels

You can temporarily silence notifications from direct chats or channels:

  1. Go to the chat or channel

  2. Click on the chat or channel name at the top

  3. Click Notifications

  4. Select how long you’d like to mute the chat or channel

When to use mute:

  • During focused work time or documentation

  • In meetings or care conferences

  • On breaks (while remaining available for emergencies)

  • When you need uninterrupted time for resident care

Profile and Settings

Accessing Settings

Tap the Settings icon (gear icon) at the bottom right of the screen to access:

  • Your profile photo (click the initials to upload a photo)

  • Notification Settings

  • Terms and Conditions

  • Help

  • Sign Out

Notification Settings

Tap Notification Settings to set up push notifications:

  • All Notifications

  • Mentions Only

  • None

Leaving a channel

Leaving a channel removes you from all future conversations. You will not receive messages or notifications from that channel anymore.

If you no longer need to be part of a channel (such as after changing departments):

  1. Open the channel

  2. Tap the channel name to view details

  3. Click Leave Channel

  4. Click Leave Channel or Cancel if you’d like to stay in the channel


Resources tab

Access the Resources tab at the bottom of your home screen to find team resources.
