Scope of This Notice
This Privacy Notice describes how Carefeed, Inc. (“Carefeed,” “we,” “us,” or “our”) collects, uses, and shares personal information about individuals who access the Carefeed Admin Portal at portal.carefeed.com in connection with their
role at a Carefeed customer organization (“Admin Portal,” “you,” or “your”).
This Notice applies only to information about you as an Admin Portal user. It does not apply to resident or family member information you may access, enter, or process through the Admin Portal on behalf of your employer — that information is governed by the Business Associate Agreement between Carefeed and your employer, and by your employer's own policies.
This Notice does not apply to the Carefeed Family Portal or the general Carefeed website (carefeed.com), each of which has its own privacy notice. Your use of the Admin Portal is also subject to the Carefeed Admin Portal Terms of Use.
2. Information We Collect
We collect the following information about you when you use the Admin Portal:
Account and login information, such as your name, work email address, username, and password.
Your mobile phone number, if you enable two-factor authentication.
Role and facility information provided by your employer to set up and administer your account.
Usage information, such as login activity, pages visited, and actions taken within the Admin Portal.
Communications you send to Carefeed customer support.
3. How We Use Your Information
We use the information described above to:
Provide, maintain, and secure your access to the Admin Portal;
Authenticate your identity, including through two-factor authentication codes sent by text message;
Respond to your support requests;
Monitor and improve the performance and security of the Admin Portal; and
Comply with our legal obligations.
4. How We Share Your Information
We share your information with:
Service providers who help us operate the Admin Portal, including hosting, security, and SMS delivery providers. These service providers are contractually required to use your information only as directed by Carefeed and in accordance with applicable law. Mobile phone numbers and SMS opt-in information are shared with our SMS provider solely to deliver messages and are not shared with third parties or affiliates for marketing purposes.
Your employer, to the extent necessary to administer your account and support their use of the Admin Portal.
Government authorities or other parties, if required by law or to protect the rights, safety, or property of Carefeed or others.
We do not sell your personal information.
5. Text Message
By providing your consent, you agree to receive 2FA text messages from Carefeed at the cell number provided. Message frequency: 1 msg per 2FA request. Message & data rates may apply. Reply STOP to unsubscribe or HELP for assistance. For support, contact us at help@carefeed.com. Information gathered in this SMS program will not be shared with third parties or affiliates for marketing purposes.
6. Data Security
We maintain administrative, technical, and physical safeguards designed to protect your information from unauthorized access, use, or disclosure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Data Retention
We retain your information for as long as your Admin Portal account is active, and for at least seven (7) years afterward to comply with our legal obligations, resolve
disputes, and enforce our agreements.
8. Your Choices
You may opt out of two-factor authentication text messages at any time by replying STOP. Opting out may prevent you from using two-factor authentication to access your account, and you will need to contact help@carefeed.com to re-enroll.
You may contact your Carefeed administrator or help@carefeed.com to review or correct your account information.
9. This Notice Is for Adult Users
The Admin Portal is intended for use by administrative and staff personnel who are at least 18 years old and is not directed to individuals under 18.
10. Changes to This Notice
We may update this Notice from time to time. We will post the revised Notice with an updated effective date.
